Privacy policy
Intro
REP Recruitment is a boutique recruitment agency specialising in real estate and property. We handle personal information every day, and most of it belongs to people who are trusting us with their career, or vouching for someone else’s. This policy explains what we collect, why we collect it, and what we do with it.
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What this policy covers
This policy applies to reprecruitment.com.au, to our recruitment and placement services, and to the internal tools we use to deliver them.
The information we collect
Candidates. Name and contact details, employment history, qualifications, resume and supporting documents, right to work information, salary expectations and history, notes from interviews and conversations, and the outcome of reference checks.
Referees. Name, position, organisation, contact details, your professional relationship to the candidate, and the responses you provide in a reference.
Clients. Names, contact details and role information for the people we deal with at hiring organisations.
Website users. Whatever you send us through the enquiry and registration forms, and nothing else. This website runs no analytics and sets no cookies. Our hosting provider keeps standard server logs of requests, including IP addresses, so that the site can be delivered and protected from abuse.
We do not seek sensitive information unless it is directly relevant and you have consented, or the law requires it.
How we collect it
We collect most information directly from you, in conversation, through our website forms, or through documents you send us. We also collect information about candidates from referees they have nominated, from our clients, and from publicly available professional profiles and job boards.
Where we collect information about you from someone else, we take reasonable steps to make sure you are aware of this policy.
Why we collect it
To assess suitability for roles, to represent candidates to clients, to fill our clients’ vacancies, to verify employment history through reference checks, to keep in touch about opportunities, and to meet our legal and record-keeping obligations.
Who we disclose it to
Clients. With the candidate’s consent, we share their information, including completed references, with the client considering them. Usually the resume goes across with the name and contact details withheld, and the candidate is identified once the client wants to take it further.
Referees. We give nominated referees the candidate’s name and the role in question.
Service providers. We use third parties to host our systems, store data and send email. They may use personal information only to provide that service to us.
We also disclose personal information where the law requires or authorises it. We do not sell personal information.
Overseas disclosure
Some of the service providers we rely on are located outside Australia, primarily in the United States. This means personal information we hold may be stored or processed overseas.
Our website is served from a content delivery network with servers around the world. The enquiries and registrations it receives are processed in the United States, and the email we send is delivered by a provider in the United States.
Our database and the files we hold in it, including the resumes candidates send us, are located in Sydney, Australia.
This also applies to document processing. Where a candidate provides a resume, we use an artificial intelligence provider located in the United States to set it out in our own template: it reads the document into the fields of that template and, where one of our consultants asks for it, tightens a summary or skills list the candidate has already written. Nothing is added that the candidate did not write, a consultant reviews the result before anything is saved, and under our commercial terms with that provider the contents are not used to train its systems.
Before disclosing personal information to an overseas recipient, we take reasonable steps to satisfy ourselves that it will be handled in a manner consistent with the Australian Privacy Principles.
Storage, security and retention
Personal information is held in access-controlled systems. Our internal tools require individual logins, and reference links sent to referees are single-purpose and unguessable.
We retain candidate information for two years from our last meaningful contact with you, after which it is deleted or de-identified. We may keep information for longer where we are required to do so by law, or where it relates to a placement we have made.
Access and correction
You may ask for a copy of the personal information we hold about you, and ask us to correct anything that is wrong or out of date. Contact us at hello@reprecruitment.com.au. We will respond within 30 days. There is no charge for making a request. In the limited cases where we cannot give you access, we will explain why in writing.
Reference responses are given in confidence. Where a candidate asks for access to a reference, we will consider the request on its merits and may need to withhold material that would unreasonably affect the referee’s privacy.
Complaints
If you believe we have mishandled your personal information, contact us at hello@reprecruitment.com.au and we will acknowledge your complaint and respond within 30 days.
If you are not satisfied with our response, you may refer the matter to the Office of the Australian Information Commissioner at oaic.gov.au, or on 1300 363 992.
Changes to this policy
We review this policy from time to time. The current version is always available at reprecruitment.com.au/privacy, with the date it was last updated shown at the top.
